MAP PRIZE 2024 TERMS AND CONDITIONS OF ENTRY

1. Eligibility and Notice

  • Anyone wishing to submit a work must complete the entry form, including signing the Artist Agreement. 
  • The competition is open to all ages. 
  • The competition is open to any artist residing in Australia. 
  • There is an entry fee for each work entered with a maximum of three submissions per artist.
    General artist entry fee: $35 per work entered
    Local artist entry fee: $20 per work entered. 
    To be eligible for the local artist fee you must currently reside in the Mid-Western Regional Council Local Government Area.
  • Works must be original and created within the last 24 months prior to the MAP Portrait Prize Exhibition.
  • Works cannot have been previously exhibited. 
  • Staff, Councillors and immediate family members of Mid-Western Regional Council are eligible to enter the competition but are ineligible to win.  
  • The artist must be known to the sitter and the sitter must have given their consent to being exhibited. Main subject / sitter must be human.
  • Mudgee Arts Precinct and the judging panel reserves the right to select works for exhibition and to decline to exhibit any work. 
  • All entrants are required to submit a digital copy of their work when submitting their entry form. This is for exhibition selection purposes.

    2D and 3D static works: upload up to 3 high-resolution JPEG images of the artwork.
    Digital and time-based works: upload a pdf file that includes a link to your work online and/or upload a low-resolution copy or excerpt of your work (up to 50MB).

  • Selection of works for the final exhibition will take place in two rounds.

  • Selection round 1: an initial selection of shortlisted works will be made using digital images submitted by entrants. Entrants who are successful in round 1 will be notified via email by Wednesday 16 October and asked to deliver their works to Mudgee Arts Precinct 90 Market Street Mudgee, NSW 2850 for further selection by Wednesday 23 October.

  • Selection round 2: final selection of works for exhibition will be made after the successful round one works are delivered. 
  • If for any reason the judges feel that the digital representation of the work is not equal to the original received, the judges have the right to choose not to include that work in the final exhibition.  
  • Finalists exhibiting in the MAP Prize 2024 exhibition will be announced 5pm Friday 25 October 2024 on the Mudgee Arts Precinct website www.mudgeeartsprecinct.com.au and social media accounts @mudgeeartsprecinct
  • Winners will be announced on Friday 1 November 2024 at the combined MAP Portrait Prize 2024 and Next Gen Portrait Prize 2024 official exhibition opening event to be held at Mudgee Arts Precinct, 90 Market St Mudgee, NSW between 6.00 pm – 8.00 pm. All entrants along with their friends and family are invited to attend. 

2. How to Enter

  • Entries for the MAP Portrait Prize must be submitted online by 12 noon on Tuesday 8 October via the Mudgee Arts Precinct website www.mudgeeartsprecinct.com.au 

 

3. Artwork Specifications

  • Physical works must include the artist’s name, contact phone number and/or email address plus the title of work and its price (if for sale), securely attached to the back. 
  • Works that require hanging must be no larger than 200cm x 200cm (including the frame) and no heavier than 25 kilograms. 
  • All works must be appropriately mounted or framed for hanging. Framed works must include D rings and wire or cord, no more than 5cm from the top edge. Three-dimensional works will be displayed on plinths or as the curatorial staff see fit.
  • The preferred method of framing for painted works is a box frame.
  • Frames and all artwork (e.g. sculpture) must be stable and secure in their construction to minimise any risk to visitors and potential damage that may be incurred during installation and exhibition.

  • All entries MUST provide a high-resolution JPEG image of the artwork at the time of online entry submission. 

  • Traditional and non-traditional mediums of portraiture are accepted including painting, drawing, printmaking, photography, sculpture, textiles, still and moving digital artworks.
  • Painted artworks with items attached that may come loose without proper encased framing, such as beading, or paper materials will not be accepted.
  • All artworks must be dry and exhibition-ready on delivery to Mudgee Arts Precinct.
  • All reasonable care will be taken when handling the works submitted, however no liability will be accepted by Mudgee Arts Precinct for loss, theft or damage of works before, during or after the exhibition.
  • Digital time-based works are to be submitted in MP4 (H.264) format and 1920 x 1080 resolution. Files may be shared to map@midwestern.nsw.gov.au via a digital share platform or delivered to Mudgee Arts Precinct, 90 Market Street Mudgee NSW 2850 on a USB flash drive.
  • Display of digital time-based works is at the curator's discretion. Digital time-based works may be exhibited on a reel. 

 

4. Judging

  • Once entries close the judging panel will assess all submitted works and select finalists for exhibition in the MAP Portrait Prize 2024 exhibition to be held in the main gallery at Mudgee Arts Precinct.
  • If the selection panel makes the decision not to accept a work, the entrant will be notified via the email provided on their entry form between the 9 October and 16 October 2024 i.e. before the delivery date on 23 October 2024. The panel’s decision is final, and no correspondence will be entered into. 

 

5. Sale of Artwork

  • A sales commission of 25% from each work sold will be retained by the Mid-Western Regional Council to cover the cost of hosting and installing this exhibition. The balance of works sold will be paid to the artist upon the provision of an invoice made to:

  • It is the responsibility of the artist to pay any GST liability to the Australian Taxation Office.
  • Artworks, sold or unsold, may not be removed from the art prize until Monday 10 February between 9am and 5pm. It is the responsibility of the artist to organise and/or cover any delivery arrangements and/or costs for the delivery or return of purchased or unpurchased works after the exhibition. 

 

6. Delivery and collection of works

  • All shortlisted physical artworks and digital works must be delivered to Mudgee Arts Precinct (90 Market Street, Mudgee) on Wednesday 23 October between 9.00am and 5.00pm.
  • Collection of works is 9.00am – 5.00pm Monday 10 February 2025. The artist agrees to deliver and collect works during the times specified.  All transport and insurance costs are the responsibility of the artist.
  • Storage or disposal of any works not collected within 3 months of the exhibition closing date on Sunday 9 February 2025 will be at the discretion of Mudgee Arts Precinct Cultural staff.

 

7. Reproduction and copyright of artist’s work

  • Mudgee Arts Precinct may reproduce exhibited works or any part of the work for the purposes of publicity, education material, the creation of an archive, catalogue or for any use they see fit. The artist warrants that the artist is the owner of all copyright in the work and has obtained all necessary permissions in the work. Mudgee Arts Precinct will credit the artist(s) appropriately where possible. 
  • Entrants may have their artwork featured in following years’ promotional material.
